What separates the average recruiter from a top producer? The answer is of course having qualified candidates. In order to have qualified and engaged candidates in your pipeline you first must source and engage them over an initial message. The outreach message can start in an inmail, email, or text message. Sourcing comes down to communication and creating excitement about your job requisition. So, when’s the best time to send a Recruiter message to a passive candidate?
Of course there isn’t going to be a one size fits all because people have varying work schedules. Likewise, some people are more productive in the mornings while others work best at night. Here we will discuss the optimal times for messaging or sending emails to your clients and candidates based on such data. I used the data from a recent survey conducted by GetResponses in 2020.
It’s Important to Note Time Zones
As with most marketing strategies, you’re probably focusing on a target audience. If your audience lives in varying time zones, schedule your emails based on the time zone of the majority.
Best Day to Send an Email
Tuesday by far is the best day to send out an email. People are generally are motivated to start there week and are more engaged when it comes to reading emails.
Most Popular Times According to Statistics
The absolute most popular time for emails to be read is between 10am and 11am, with 10 being ideal. Then, the next most popular time is a longer span of time, which ranges from 8pm to midnight. Whether this is because many are in the habit of checking and responding to messages before going to bed or for those individuals who tend to be night owls, a large majority of emails are received and clicked on in the evening.
Coming in as the third most popular time of day for checking emails is 2pm. For many, this is likely when some are finishing up their work day and routinely do this to wrap things up, or perhaps it’s for those individuals that experience the all-too-common afternoon slump and tackle a task that requires less thought.
Let’s not forget about those early birds who start their day before getting out of bed. Statistics indicate that approximately 50% of people start their day this way, which is why 6am seems to be yet another popular time for reaching emails.
Test Your Key Audience
You can also use the suggested guidelines as a foundation for testing your particular audience, scheduling them at the same time throughout the week. The results will also let you know which days of the week your audience is more engaged.
With that being said, according to a six-month study of 4 billion emails conducted by GetResponse, messages sent Monday through Friday were opened much more frequently than weekends. And, of the weekdays, Tuesday was a slightly more popular day. Then, in addition to the most popular days, you might also consider testing times of year. The key is starting and tweaking as you go.
Of course it would be great if the collected data was clear cut and held true for everyone, but even the massive amounts of data available can’t accurately do that. Why? Because audiences’ habits vary based on interests, professions, age, and so on.
Get More Out of Your Emails
Compiling data on your audience is essential, albeit time-consuming and a bit daunting, especially if you’re just building your email marketing skills. With the right tools and techniques, you’ll be able to make the most of every email you send, ensuring that you get the most opens, clicks, and results from each campaign.
With all of that in mind, your emails will only perform well if you offer high-quality copy, so don’t overlook the importance of planning, writing, and editing your emails with care. Once you have a great email written, you can go forth with this advice to make sure it reaches your reader’s inbox at the perfect moment.
